Inventory and Stocktake Sheet

An inventory sheet for recording product names, stock counts, items received and shipped, and stocktake results all in one place. It works well for products in a small shop or for tracking supplies around the office. Available as Excel and a print-ready PDF.

Download CSVCSV format · free (opens in Excel, Google Sheets, etc.)

What it's for

  • When you run a small shop and want to see all your stock counts at a glance
  • When you want to keep track of supplies and consumables in an office or classroom
  • When you do a month-end or year-end stocktake and want to check the gap between your records and the actual count
  • When you want to log items received and shipped so you can look back on how stock moves

What's included

Product name and item number (management code)
Category and storage location
Current stock count and unit
Fields for quantity received and quantity shipped
Stocktake date and actual count (the number you physically counted)
A notes field for any difference from the recorded count
Supplier and remarks fields

Notes on managing with paper or Excel

  • Because you rewrite it by hand every time stock comes in or goes out, it is easy to miss an entry or write the wrong number.
  • When records are split across several sheets or files, you have to add up the totals by hand each time.
  • If you lose the paper or the file itself, all your stock records can disappear at once.
  • Each stocktake adds the work of comparing your records against the actual count, and it gets harder to trace the cause of any difference later on.

Why an app makes it easier

  • Scan a barcode to pull up a product, then record items received, shipped, or counted right on the spot.
  • Stock counts are calculated automatically, so there is less need to total things up or work out the remaining quantity by hand.
  • Enter the actual count in stocktake mode, and you can check the difference from your recorded count right on screen.
  • Your records all stay together on your device, so you can manage stock without worrying about losing a sheet or copying a number wrong.
